5 Hidden Xero Features That Will Save You Hours

Most people only ever touch a fraction of what Xero can do. You send invoices, reconcile the bank feed, run a report at month-end — job done. But buried inside the platform are several hidden Xero features that quietly save serious time, whether you’re a business owner doing your own books or a bookkeeper juggling a dozen clients. Here are five worth digging out.

1. Cash Coding — Reconcile in Bulk, Not One by One

If you’re clicking “OK” on bank transactions one at a time, you’re doing it the hard way. Cash Coding, found as a tab next to “Reconcile” on your bank account screen, lets you code and reconcile dozens of transactions at once. Sort your lines by reference or description to group similar items together, then process them all in one pass. It’s a lifesaver at month-end when a feed has piled up. Note: it’s not available on Xero’s entry-level Starter plan. 

2. Bank Rules — Teach Xero to Code Things for You

Tucked inside the Reconcile tab is a tool called Bank Rules — a default transaction Xero automatically suggests whenever a new statement line matches conditions you’ve set. Set one up for recurring rent, subscriptions, or supplier payments, and Xero will pre-fill the coding every time. One tip: Xero applies bank rules in the order they appear on the list, so put your most restrictive rules at the top.

3. Slash Commands — Navigate Without Touching Your Mouse

Type / from almost anywhere in Xero followed by a letter, and you’ll jump straight to that screen — “A” for all bank accounts, “B” for all bills, “C” for all contacts, “I” for all invoices, “R” for all reports. There are equivalents for creating new records too. It sounds small, but if you live in Xero all day, it adds up to a lot of saved clicks.

4. Live Calculators in Input Fields

Certain fields let you type a calculation directly instead of working out the answer first — available in Quantity, Unit Price, and Discount fields on transactions, and Debit/Credit fields in manual journals. Type 120/3 into a field and Xero does the maths for you. Handy for splitting costs or quick adjustments without reaching for a calculator app.

5. Find & Recode — Fix Mistakes in Bulk

Made a coding error across a batch of transactions? Rather than editing them individually, Find & Recode lets you search for transactions matching certain criteria and change them all in one action. Particularly useful for bookkeepers cleaning up historical entries or correcting a misapplied account code across a client’s file.
